Holiday staff cover and contact handoff plan

Holiday coverage gets easier to hand off when each window has a role, a backup role and a tested escalation route. This plan keeps the internal coverage matrix separate from public hours notices; it does not assume a business is open, closed or staffed at any particular time.

For: Small-business owners coordinating holiday-week coverage across retail or customer-service roles. Use it to: Prepare a private role-based coverage plan and verify which customer contact route remains active during each coverage window.

Two coworkers compare an empty role-coverage matrix and a tablet in a decorated shop back office; no names or work hours appear.

Planning boundary

OPM lists Thanksgiving Day as November 26, 2026 and Christmas Day as December 25, 2026. These are U.S. federal holiday dates, not a claim about a private business’s schedule. Dates in the worksheet are suggested planning dates; confirm each business’s coverage and contact route before sharing it.

7 suggested planning steps

  • 2026-11-16 — Scope: List the roles that need coverage during the selected holiday windows; do not start with employee names. Caption: “We are reviewing our holiday coverage plan. The current customer contact route is [verified route].” Check: Use role names in the shared worksheet; keep personal contact data in the approved private system.
  • 2026-11-18 — Assign: For each role and window, record primary coverage, backup role and a tested escalation route. Caption: “For help during [confirmed window], use [verified customer route].” Check: Confirm the route reaches a monitored team or approved backup.
  • 2026-11-20 — Test: Test the escalation and customer-contact paths with the assigned role owner. Caption: “Our contact options for [confirmed date range] are listed at [link].” Check: Do not announce a phone number or response time that has not been verified.
  • 2026-11-23 — Publish: Publish only verified customer-facing schedule and contact information in the approved channels. Caption: “For [date range], our confirmed schedule is [verified hours or service status]. Contact [route] with questions.” Check: Compare the post with the approved hours record; this plan does not set hours.
  • 2026-11-25 — Check: Reconfirm the backup role and monitored route before the Thanksgiving window. Caption: “For the upcoming holiday period, see our current information at [link].” Check: OPM’s federal date does not determine this business’s hours.
  • 2026-12-21 — Refresh: Review the coverage matrix and customer contact route before the Christmas window. Caption: “Our current schedule and contact options are at [link]. We will update that page if anything changes.” Check: Reconfirm roles, handoffs and the page where customers will see updates.
  • 2026-12-28 — Close: Record unresolved handoff issues and return the normal escalation route only after it is tested. Caption: “Our regular contact route is [verified route]. For current details, check [link].” Check: Use the actual coverage restoration date; the suggested date can be changed.

Role-based coverage and contact matrix

Use role labels, not names or personal phone numbers. Store any restricted staff contact details in the business’s approved private system.

The CSV matches the suggested dates, actions, caption examples and checks above.

Add suggested reminders to a calendar

The all-day ICS contains suggested planning reminders, not business deadlines. Edit or remove dates to match the verified business schedule.

Separate internal cover from customer notices

  • The matrix organizes roles and backup routes. It is not a staffing roster and contains no employee names.
  • Customer notices should state only confirmed hours, service status and contact options.
  • Test the route during the coverage window before relying on it.
  • For the U.S. 2026 planning example, OPM lists Thanksgiving on November 26 and Christmas on December 25; private business schedules may differ.

A quick note

Make it fit your situation

All public copy examples are editable templates. Replace bracketed fields and verify the facts before publication.

The downloadable worksheet contains blank operational fields; do not add private customer or employee details to public content.
